Ask how help works during your trading hours
Tell the provider when your business operates and which interruptions stop sales. Ask who receives a request, how it is tracked and how an urgent incident is escalated. Separate an initial response from resolution, which can depend on equipment or third parties. Record the support channel and agreed hours rather than assuming that any provider offers continuous coverage.
Train by responsibility
Cashiers should practise sales, corrections, returns and closing steps with the permissions they will actually receive. Buyers and stock staff need purchasing, receiving and count exercises. Managers need report interpretation and approval workflows. Request practice using your sample products and a short sign-off for each role. Watching a trainer use an administrator account does not demonstrate that each employee can complete the work.
Define the boundary of support
Ask whether support covers software configuration, devices, network faults, data correction and new staff training. Identify which issues belong to a hardware supplier or payment provider. Agree how remote access is approved and terminated. If changes or additional integrations are chargeable, request the process for scoping that work before staff authorize it during an urgent call.
Keep a handover that survives staff changes
Document the agreed configuration, user roles, backup owner, support route and end-of-day checks. Keep a controlled list of known issues and their status after launch. Arrange a review after staff have used the system in normal trading. When new employees join, repeat the relevant role exercises rather than sharing another user’s login or relying only on informal instructions.
