Prepare a small, accurate product sample
Choose common items, a slow-moving item, a product sold in different units and an item you often return to suppliers. Record barcodes, selling prices, costs and opening quantities. This sample exposes data problems before the full import. If several items share a barcode or staff use informal names, resolve those differences before asking the software to produce reliable stock reports.
Test the whole trading day
Demonstrate opening the counter, scanning a sale, correcting a mistake, authorizing a discount and processing a return. Then close the day and compare recorded payments with the available cash and terminal records. Ask your cashier to perform the steps after training. A short owner-led presentation does not tell you whether staff can work through interruptions during a busy period.
Keep the budget tied to the essentials
Request separate prices for software, equipment, initial setup and support. Identify which optional modules can wait until you need them. Ask what happens when you add another counter or move to a second shop, including data migration and licensing. Keep the opening scope manageable while avoiding assumptions that a future expansion will require no extra work or cost.
Plan the first week of use
Choose who can change prices, authorize refunds and check the daily report. Keep a record of opening stock and balances approved before go-live. Arrange a support contact and agree how staff report a problem without sharing passwords. Review a few sales, returns and stock movements each day initially so data and training issues are caught before they accumulate.
