Order Desk and Payment Desk: Keep Responsibilities Clear

Separating product selection or order entry from payment can suit some retail workflows, but the handoff needs clear references, responsibilities and cancellation rules. Ask iPOS to demonstrate the intended desk arrangement and permissions in the quoted configuration.

Define what the first desk creates

A quotation, order, reservation and completed invoice have different meanings. Specify which event the first desk records and what it commits. Decide whether goods are reserved and which details may still change. The customer and the next operator should understand the reference they receive instead of treating a preliminary document as proof of payment or completed fulfilment.

Make payment and amendments traceable

The payment operator must find the correct transaction and identify what can be changed. Test a changed quantity, a declined payment and a customer who does not complete the purchase. Explain who can approve an amendment and how the earlier state is handled. Without those rules, separate desks can create duplicate records or leave unfulfilled reservations that distort availability.

Review closing across both responsibilities

Management should be able to distinguish pending work, cancelled work and completed sales under the agreed process. Staff need a clear route for unresolved handoffs at the end of a shift. Review the supporting records, permissions and reports during implementation. The arrangement should solve a practical service need rather than add an extra stage that nobody is responsible for reconciling.

A practical scenario

An assisted-sales store records a customer's selected items at one desk and completes payment at another. The demonstration includes a quantity change and an abandoned purchase. Staff then review which records remain open and how stock or reservations are affected under the agreed rules.
