Negative Stock: Find the Cause Before Correcting the Number

Negative stock should trigger an investigation of product identity, units, receiving, timing and corrections. An unexplained adjustment may change the displayed balance without fixing the underlying process that caused the difference.

Inspect the transaction trail

Identify the product or variant, the affected location and the events leading to the balance. Check whether receiving was recorded, an alternate barcode selected the wrong item, a sale used another unit or a transfer remains unresolved. The investigation should establish the relevant facts before staff assume theft, a software defect or a harmless timing issue.

Distinguish record timing from physical availability

Physical goods can arrive before an authorized receiving record is completed, while a connected record can be delayed by an agreed synchronization process. Those situations need different responses. Compare the documented workflow and source references. Do not create duplicate deliveries or sales merely to force a visible change. Ask iPOS to demonstrate the controls and exception reports included in the proposed configuration.

Correct with responsibility and evidence

Once the cause is understood, use the approved correction process and retain the reason and authorization required by the business. Train the responsible staff if the same error recurs. Review whether catalogue, unit or workflow changes are needed. A stock correction should be part of closing an identified exception, not a routine substitute for receiving and transaction discipline.

A practical scenario

A shop sells individual units from cartons received under an inconsistent conversion. The manager compares receiving and sales references, establishes the unit problem and approves the appropriate correction. Staff then test the revised workflow so the same mismatch does not simply return after the next delivery.

Questions buyers ask

Does negative stock prove a software defect?

No. It can have several operational or technical causes that need evidence-based investigation.

Should staff add stock until the number looks right?

Not without the authorized correction process. An unexplained change can conceal the original cause.
